ValoyItech provides digital services including web design, hosting, IT support, and SaaS solutions. Due to the nature of these services—where work begins immediately upon project initiation and resources are allocated specifically to your requirements—our refund policy is structured to reflect work already performed.

Our Commitment

We strive to deliver exceptional value on every project. If you're unsatisfied at any point, we encourage open communication so we can address concerns before they become disputes.

This policy applies to all services provided by ValoyItech (Pty) Ltd, including but not limited to custom development projects, ongoing maintenance agreements, hosting subscriptions, and SmartOffice SaaS subscriptions.

2Service-Based Work

For custom services like web design, graphic design, IT consulting, and database solutions, payments are typically structured around milestones or requested after service delivery.

Project Initiation
Work begins upon approval and first payment. Resources are allocated immediately.
Milestone Completion
Partial payments may be requested as specific project phases are completed.
Final Delivery
Upon client approval, the project is considered complete and delivered.
Refundable Scenarios
  • Service has not yet started — Full refund
  • Project cancelled mid-way — Partial refund based on work completed
  • We are unable to deliver the agreed service — Full or partial refund
Non-Refundable
  • Service completed and approved by client
  • Change of mind after work has started or been completed
  • Delays caused by lack of client communication or input

3Hosting & SaaS Services

Our SmartOffice platform, web hosting, and other SaaS solutions operate on a subscription model. These services incur ongoing infrastructure costs from the moment your account is activated.

Monthly Subscriptions

  • • Can be cancelled at any time
  • • Cancellation stops future billing
  • • No refund for current billing period
  • • Service remains active until period ends

Free Trials

  • • 3-day free trial for SmartOffice
  • • No payment required to start
  • • Convert to paid or cancel before trial ends
  • • No refunds on trial conversions
Important Note

Annual subscriptions may be eligible for partial refunds if cancelled within the first 30 days, calculated as unused months minus any setup fees incurred. Contact us for specific calculations.

4Eligibility for Refunds

Refunds may be granted under the following specific conditions. Each request is evaluated on a case-by-case basis:

Service Not Yet Started

If no work has commenced and no resources allocated, a full refund is typically granted within 5-7 business days.

Unable to Deliver Service

If ValoyItech cannot fulfill the agreed scope of work due to technical limitations or resource constraints.

Critical Technical Issues

Issues caused by our systems that cannot be resolved within a reasonable timeframe (typically 14 days).

Partial Refund Calculation

For cancelled projects with work in progress, refunds are calculated as:

Refund Amount = Total Paid − (Hours Worked × Hourly Rate) − Non-Recoverable Costs

5Non-Refundable Situations

To maintain fairness and operational sustainability, refunds will not be provided in the following circumstances:

Completed & Delivered

Services that have been fully rendered and approved by the client.

Change of Mind

Deciding you no longer want the service after work has commenced.

Client-Caused Delays

Project delays due to lack of communication, feedback, or required materials.

Third-Party Failures

Issues with external services (domain registrars, payment gateways) beyond our control.

Domain Registrations & SSL Certificates

These are purchased from third-party registrars and cannot be refunded once registered, even if the project is cancelled.

6Dispute Resolution

We aim to resolve all disputes amicably and professionally. Our dispute resolution process is designed to be fair, transparent, and efficient.

Step 1: Direct Contact
Clients are encouraged to contact us directly via email or phone to address any concerns. Most issues are resolved at this stage.
Step 2: Internal Review
If the issue requires escalation, it will be reviewed by senior management within 3-5 business days.
Step 3: Mediation
We may propose mediation or alternative solutions (credit notes, additional services) to reach mutual satisfaction.
Step 4: Final Resolution
If no agreement is reached, we will provide a written explanation of our position and any partial remedies available.
Response Times
  • Initial response to refund requests: 24-48 hours
  • Refund processing (if approved): 5-7 business days
  • Complex dispute resolution: Up to 14 business days
